ABOUT THE ROLE

As a Fleet Compliance Manager for Sysco Ireland, you will be responsible for managing the company's modern commercial delivery and company car fleets. Ensuring that it is operating efficiently, cost-effectively, and safely. The role involves supporting the Transport management team and overseeing the various fleet maintenance providers relationships, as well as liaising with suppliers and other stakeholders to ensure that the fleet is properly maintained, serviced and compliant.

Reporting to the National Fleet Manager the role will provide management and compliance, reporting, auditing services vital to maintaining the overall compliance of the largest food distribution fleet in Ireland. The role is based at our Dublin Distribution Centre with a requirement to travel nationwide between our various depots to conduct field-based activities. 

Key Accountabilities

  • Continuous monitoring and auditing of the Fleet management system, ensuring vehicle documents, test reports, and inspections are completed correctly, on time and in accordance with Irish/British/EU legislation.

  • Work withour 3rd party vendors ensuring they are completing their scheduled fleet maintenance activities on time, taking action when required to keep them aligned with our fleet maintenance program.

  • Audit vehiclerepair work records and documentation, to ensure it is always held to the highest standard,so our vehicles are always roadworthy.

  • Reviewfleetcosts, fuel performancetrends and highlight anyexpenditure anomalies. Take action to reduce costs or wastage within the fleet. 

  • Support the Transport team with their fleet and tachograph compliance by conduction regular site visits & audits.Identifytrends and report any specific insights to assist them better manage and improve their operation whist ensuing Sysco operations always remain compliant.

  • Oversee the fleet accident process from end-to-end, report forms, evidence gathering, system records, incident investigation, arranging repairs, reporting claims, conducting trend and root cause analysis to drive our “Zero repeats” safety culture. 

  • Ensure Sysco Ireland’s Fleet remains in-line with all current and legislative requirements vital to our company’s integrity as the lead Food distributor in Ireland

  • Review and analyse vehicle fleet compliance for statutory and legislative maintenance arrangements, including correct service and safety inspection intervals, ancillary equipment certification and calibration using the businesses maintenance monitoring system and addressing any issues, concerns found.

  • Monitor all Sysco Ireland driver compliance, ensure driver licenses, tachograph records are kept at the highest standard by continuously working with and supporting our transport management teams

  • Align all Sysco Ireland transport operations to a set of KPI’s for working time directive and tachograph infringements in line with the RSA/DVSA and Earned recognition guidelines.

  • Monitor CVRT/MOT pass rate regionally, nationally, work with fleet management team to address poor performance

  • Monitor the vehicle daily walkaround and defect reporting procedure, ensure that the correct standard of walkaround is being completed by carrying out and organising regular visits to depots, conducting gate checks & fleet management audits of garages.

  • Continuouslymonitor all fleet systems (telematics/CCTV/safety systems), ensure each system is functioning correctly by carrying out regular audits. Organise repairs to systems when required

  • Support the National Fleet Manager with various projects and regular performance reports.

  • Regularly review the fleets various systems and databases for correct business information, highlight any non-conformities to ensure compliance, and take action when required to ensure full compliance.

  • Review, amend existing Fleet Compliance policies and procedures. Create new policies and processes as required, implement and support the regions/depots with follow up of implementation and progress of any new process or policy.

Requirements

  • Experience within a busy distribution role.

  • Knowledge of current commercial vehicle & tachograph legislationessential.

  • Understand the fundamentals of the FTAI TruckSafe standards as well as the Commercial Vehicle Roadworthiness Act / DVSA standards.

  • Previous experience in fleet management, logistics, or a related field

  • Excellent knowledge of MS Word, Excel, PowerPoint and Web based database systems

  • Ability to collect substantial amounts of data regarding fleet operations, quickly analyse and provide useful metrics for management

  • Must have own vehicle & full driver’s license as there will be a requirement to travelto travel to depotsnationwide.

  • Flexible working hours and ability to work as part of a team as well as on your own initiative

  • Qualification in a related technical discipline an advantage

  • Excellent communication skills, both verbal and written, with the ability to communicate effectively with a range of stakeholders

  • Strong analytical and problem-solving skills, with the ability to identify and resolve complex issues

  • Proficiency in the use of fleet management software and other relevant tools
