Fleet Manager

As a Fleet Manager for Sysco Ireland, you will be responsible for managing the company's modern commercial delivery and company car fleets, ensuring they operate efficiently, cost-effectively, and safely. The role involves supporting the Transport Management team and overseeing relationships with various fleet maintenance providers, as well as liaising with suppliers and other stakeholders to ensure the fleet is properly maintained, serviced, and compliant.

Reporting to the National Fleet Manager, this role provides management, compliance, reporting, and auditing services that are vital to maintaining the overall compliance of the largest food distribution fleet in Ireland. The role is based at our Dublin Distribution Centre with a requirement to travel nationwide between our various depots to conduct field-based activities.

Key Accountabilities

  • Continuous monitoring and auditing of the fleet management system, ensuring vehicle documents, test reports, and inspections are completed correctly, on time, and in accordance with Irish/British/EU legislation.

  • Work with third-party vendors to ensure they are completing scheduled fleet maintenance activities on time, taking action when required to keep them aligned with our fleet maintenance program.

  • Audit vehicle repair work records and documentation to ensure the highest standard is maintained, ensuring our vehicles are always roadworthy.

  • Review fleet costs and fuel performance trends, and highlight any expenditure anomalies. Take action to reduce costs or wastage within the fleet.

  • Support the Transport team with fleet and tachograph compliance by conducting regular site visits and audits. Identify trends and report any specific insights to help improve operations while ensuring Sysco remains compliant.

  • Oversee the fleet accident process from end to end: report forms, evidence gathering, system records, incident investigation, arranging repairs, reporting claims, and conducting trend and root cause analysis to support our “Zero Repeats” safety culture.

  • Ensure Sysco Ireland’s fleet remains in line with all current legislative requirements, safeguarding the company's integrity as Ireland’s leading food distributor.

  • Review and analyse vehicle fleet compliance for statutory and legislative maintenance arrangements, including correct service and safety inspection intervals, ancillary equipment certification, and calibration using the business’s maintenance monitoring system, and address any issues or concerns found.

  • Monitor all driver compliance across Sysco Ireland, ensuring driver licenses and tachograph records are maintained to the highest standard by continuously supporting our transport management teams.

  • Align all Sysco Ireland transport operations to a set of KPIs for working time directive and tachograph infringements, in line with RSA/DVSA and Earned Recognition guidelines.

  • Monitor CVRT/MOT pass rates regionally and nationally, and work with the fleet management team to address poor performance.

  • Monitor daily vehicle walkaround and defect reporting procedures. Ensure that walkarounds are completed to the correct standard by organising and carrying out regular depot visits, gate checks, and fleet management audits of garages.

  • Continuously monitor all fleet systems (telematics, CCTV, safety systems) to ensure they are functioning correctly through regular audits. Organise repairs when required.

  • Support the National Fleet Manager with various projects and regular performance reports.

  • Regularly review the fleet’s various systems and databases to ensure accurate business information. Highlight any non-conformities and take appropriate action to ensure full compliance.

  • Review and amend existing fleet compliance policies and procedures. Create and implement new policies as required, and support regional teams in implementing and tracking their progress.

Requirements

  • Experience within a busy distribution environment.

  • Strong knowledge of current commercial vehicle and tachograph legislation.

  • Understanding of the FTAI TruckSafe standards, the Commercial Vehicle Road worthiness Act, and DVSA standards.

  • Previous experience in fleet management, logistics, or a related field.

  • Excellent knowledge of MS Word, Excel, PowerPoint, and web-based database systems.

  • Ability to collect, analyse, and present substantial amounts of data regarding fleet operations.

  • Must have a full driver’s license and own vehicle, as nationwide travel is required.

  • Flexible working hours and the ability to work independently as well as part of a team.

  • Qualification in a related technical discipline is an advantage.

  • Excellent verbal and written communication skills, with the ability to engage with a wide range of stakeholders.

  • Strong analytical and problem-solving skills with the ability to identify and resolve complex issues.

  • Proficiency in using fleet management software and other relevant tools.
